Set up an academic year

A worked setup, in the order the application asks for it, with the shape a year ends up as.

This is setting up a school as a sequence rather than as a list of decisions. It assumes an administrator is signed in at the school's own address and nothing exists yet.

Step one: name the year

The year is named the way the school names it, and its terms are stated at the same time. A basic school states three terms; a college states two semesters. The number is not cosmetic: it decides how many times results are published.

Step two: state what the year offers

Classes and subjects belong to the year, so both are entered as this year's lists rather than as a permanent catalogue. Renaming a class later changes the year's list; it does not touch a mark.

{
  "year": "2025/2026",
  "terms": ["First term", "Second term", "Third term"],
  "classes": ["JSS 1A", "JSS 1B", "JSS 2A"],
  "subjects": ["Mathematics", "English Language", "Basic Science"]
}

Step three: place the students and the teachers

A placement records that a student was in a class for a year, with a date. A teacher is assigned to a class and a subject together, which is what scopes what they can see. Importing from a spreadsheet is not part of this release, so this is the step that takes the longest.

Step four: state the grading defaults

Per subject: the categories, their weights, the precision and the rounding. A subject that differs states its own policy; the rest inherit the year's.

What to check before the term starts

  • Every class the school teaches has a subject list.
  • Every teacher who enters marks has an assignment for that class and subject.
  • One subject's result is calculated from test marks and agrees with your own arithmetic.

Once those three hold, the term is entry rather than configuration. Running a term is the next page.
