School management, without the sprawl

The whole school year, in one calm system.

Ashee SMS holds the academic year, the people in it and the marks they earn, so a result is calculated from what the school decided and every correction leaves a trail.

Built for

Ghana

Three terms, or two semesters

Basic schools and colleges, each with its own term structure and grading defaults.

United States

Quarters, semesters or yours

A calendar you configure, with reporting that stays consistent across schools.

Custom

Any structure

Any term model, any class naming, any grading scale. Stated once, referenced everywhere.

The way it usually goes

Three things every school office knows

None of them is a failure of effort. Each is what happens when the year lives in files rather than in a record: the same formulas retyped, the same report rebuilt, the same correction made twice.

  1. A spreadsheet per term

Every term begins as last term's file, copied and renamed, with the same formulas retyped by hand.

  2. A report one person can produce

The end-of-term numbers live in someone's memory of a process rather than in the system that holds the marks.

  3. A correction that erases the old mark

A mark changes, and the value it replaced is gone, so nobody can say what a parent was shown last week.

What it does

Six things a school feels on the first day.

No module to configure before it is useful, and no report only one person knows how to produce.

One academic spine

Years, terms, classes and subjects stated once and referenced everywhere — no spreadsheet per term, no list that disagrees with another.

Students who move

Admit, place, move and withdraw through recorded facts. Each placement is dated, so a past term still names everyone who was in it.

Teachers and their load

A teacher sees the classes and subjects they are assigned to, and nothing they are not. A change of staff is a record, not a rewrite.

Grading you can defend

Weights, categories, precision and rounding are configuration, not code. Every mark is versioned, and a correction leaves the previous value visible.

Results that are calculated

A result is derived from the marks and the configuration, ranked within its scope, and published as an immutable snapshot.

Isolation you do not have to trust

Each school's information stays its own, enforced by the platform rather than by convention. One platform serves every school; none sees another.

How a term works

Six steps, then it is data entry

The order the application asks for. Follow it once and the rest of the year is repetition, which is exactly what a school office wants.

Every step below is a screen, and each one records something the next step depends on. Nothing is re-entered and nothing is recomputed by hand.

  1. Open the academic year

Name the year and its terms — three for basic schools, two semesters for colleges. Everything else hangs from them.

  2. Shape the school

Add the classes and subjects the year offers, then join them. That pair is what a placement, an assessment and an assignment all point at.

  3. Register people

Enrol students and place them in a class. Register teachers and record which class and subject each one teaches.

  4. Set how marks become results

Per subject and term: the categories, their weights, the precision and the rounding. The school decides; the system computes.

  5. Record the marks

Enter marks per student. A correction appends a version rather than overwriting, and a change can be requested and reviewed.

  6. Publish the results

Results are calculated, ranked within their scope, and published as an immutable snapshot a parent can be shown.

Grading you can defend

The school decides. The system computes.

Weights, categories, precision and rounding are settings rather than code, so a result can be explained line by line to a parent, an inspector or a board.

Illustrative arithmetic. The weights, the precision and the rounding are the school's to state; the system computes what they decide.

Curricula

Built for Ghana and the United States.

Setup asks which system your school runs, and the year, the classes and the grading defaults arrive shaped for it rather than renamed afterwards.

A basic school runs three terms. A college runs two semesters, and the year states which.

You state how many terms the year has and what each is called. Everything else hangs from that statement.

Isolation

One platform. No school sees another.

A school's information stays its own by how the platform is built, not by a setting somebody remembers to switch on. One deployment serves every school; each school's record is separate.

  • Reaching a school is deliberateSupport access is begun for a stated reason and ends when the work does, and it is recorded rather than occurring quietly in the background.
  • The console is a separate placeThe people who administer the platform sign in somewhere separate, with their own credentials, so a mistake in one door cannot reach the controls behind the other.

Two doors

One product, two front doors

A school signs in to run its year. The people who operate the platform sign in somewhere else. The two never become one, which is the point.

Where the year is run

The screens a school's own staff use every day: the year, the people in it, the marks they earn and the results those marks produce.

  • Years, terms, classes and subjects
  • Admissions, placements and teacher assignments
  • Marks, correction review and published results

Questions

The six a head of school asks first

If the answer you need is not here, the trial is the fastest way to ask it: one school, one term, and nothing to cancel.

Calculated. A result is derived from the marks and the school's own grading configuration, ranked within its scope and published as an immutable snapshot. Nobody types a final average.
